Here are seven practical tips, to create better schedules that keep your team happy and your business strong.

  1. Share schedules well in advance
    Not knowing your schedule until the last minute is a recipe for stress. A major study by the Economic Policy Institute (EPI) highlights that workers with less than a week’s notice struggle to balance personal responsibilities, such as childcare or second jobs.

    Make it a priority to share schedules two to three weeks ahead. Tools like WorkJam let you post shifts early and allow employees to check them on their phones. When workers like Emily know their hours in advance, they can plan their lives, show up less frazzled, and are more likely to stay with you.

  2. Give employees a voice in scheduling

    Last-second shift changes or cancellations throw workers’ lives into chaos. The EPI study notes that 28% of workers in service industries experience last-minute schedule adjustments, leading to financial strain and frustration.

    Set policies to minimize disruptions, like guaranteeing a minimum number of hours per shift or offering “stability pay” for canceled shifts. Some businesses compensate workers for last-minute changes, which helps ease financial stress, a small gesture that shows your team you respect their time.

  4. Use smart tech for fairer schedules
    Technology can make scheduling a breeze, especially when using AI-driven tools that balance business needs with employee preferences. Platforms like Legion predict busy periods and factor in your team’s availability, avoiding over- or under-scheduling. They also ensure shifts are distributed fairly, so nobody feels left out. Investing in this kind of tech saves you time and keeps your team happier by reducing scheduling conflicts.
  5. Train managers to listen and support
    Tech is great, but human connection is key. The 2025 Gallup study emphasizes that supportive managers boost engagement, yet many workers feel disconnected. Train your managers to have open conversations about scheduling needs—maybe through regular check-ins or quick surveys. If Emily’s struggling with late shifts, her manager should listen and find a solution. When managers show they care, employees feel valued and are less likely to quit.
  6. Offer flexible work options
