Communications Tools for Today’s Modern Office

The way we work today is very different from what previous generations did and even from what it was a few years ago. The new policies include flexibility of schedules, allowing some employees to do “home office” one or more times per week and others exclusively working remotely (teleworking). While the circumstances vary between employees and from company to company, there is a constant for all, to have the necessary tools that allow both working within the office, remotely and in a mobile manner.

Previously, only employees needed to have a mobile phone, however, today’s modern office must have a greater variety of tools to work more effectively and to meet all the objectives, such as if they were physically inside the company. The workers are only as good as the tools available to them, that is, the sales, technical and marketing personnel can only perform an efficient job with the tools they are given for their work; and this is very true, since software tools have changed from an on-premise model to a cloud-based model, which are available at all times. Digital strategies capable of adapting to this cultural change must be introduced, allowing employees to communicate, collaborate and work together, regardless of location and device.

Web collaboration: It is increasingly popular to hear of tools designed specifically to facilitate internal collaboration between teams. Mobility with smartphones and tablets: Currently, most workers use tablets and smartphones to work, allowing them to do it from anywhere, whether at home, on the move or inside the office. Use of a CRM (Customer Relationship Management): Companies need to be aware of the interactions and needs of customers, and this is where the use of a CRM as a strategy and technology will help them to achieve it, if in addition to this it is integrated with the communications system, it will undoubtedly provide a key differentiator in front of its competitors when providing a better customer service.

Presence and internal chat: There is an increase in the number of specific communication applications among employees that allow knowing if a partner is available to receive a call or send a chat, allowing instant communication for simple questions or requests.

The integration of the different work tools has the potential to transform the internal efficiency and improve the operations of the modern office, it is of vital importance for the companies to have the best methods and processes which can facilitate the interaction between collaborators and improve office-based communications, both internally and with clients and business partners.
