How to Speed Up Microsoft Outlook 2007- Tips?

By Amarendra Bhushan for CEOWORLD Magazine Updated:April 2, 2009

There are some quick fixes that can help optimize Speed Up Outlook.

1. Go to Tools - Trust Center and click the Add-ins tab. Select the ones you don’t use. Go to the bottom and click Go, this will disable them.

2. Scan and repair your PST file:

Repair errors by using Scanpst.exe

A. Exit Outlook if it is running.

B. Double-click Scanpst.exe, located at drive:\Program Files\Microsoft Office\OFFICE12.

C. In the Enter the name of the file you want to scan box, enter the name of the .pst or .ost file that you want to check, or click Browse to search for the file.

D. To specify the scan log options, click Options, and then click the option that you want.

E. Click Start.

F. If errors are found after the scan is complete, you will be prompted to start the repair process to fix the errors.

A backup file is created during the repair process. To change the default name or location of this backup file, in the Enter name of backup file box, enter a new name, or click Browse to look for the file that you want to use.

G. Click Repair.

H. Start Outlook by using the profile that contains the .pst file that you tried to repair.

I. On the Go menu, click Folder List.

In the Folder List, you may see a folder named Recovered Personal Folders that contains your default Outlook folders or a Lost and Found folder. The recovered folders are usually empty, because this is a rebuilt .pst file. The Lost and Found folder contains the folders and items recovered by the Inbox Repair tool. Items that are missing from the Lost and Found folder cannot be repaired.

J. If you see a Recovered Personal Folders folder, you can create a new .pst file, and drag the items in the Lost and Found folder into the new .pst file. When you have finished moving all the items, you can remove the Recovered Personal Folders (.pst) file, including the Lost and Found folder, from your profile.

3. Compact your PST data files often

4. Delete large attachments.

You may use OutlookAttachView is a free utility that proves pretty useful in such scenarios. Download it here

- This utility scans the Microsoft Outlook and displays all the emails that contain attachments.

- The following details are displayed: file name, sender, receiver, attachment id, subject of email, attachment type, file size, file/folder path and etc.

- The attachments listed can be easily saved directly to file or folder of your choice.

- The attachment list can be saved in file formats like text, html, xml and csv.

- Ability to delete unwanted attachments right from OutlookAttachView

- Does not require installation and hence can be used as an portable application.

5. Split emails into Archives

6. No need for fax? why to keep the setting?

7. Enable Outlook 2007 logging to see if anything is going wrong

8. Optimise your Exchange settings

If you have Exchange in use then Outlook 2007 may well have the caching of people’s calendars turned on. This means that when you open a calendar you have to wait for the cache to populate, which can slow things down a bit sometimes. This is how to turn it back to how it was with Outlook 2003.

A. Go to the Tools Menu and select Account Settings

B. Select your Exchange Account and press the change button

C. Press the more settings button

D. Select the 2nd tab (Advanced)

E. Un-tick the “Download shared folders” option. Note that this will stop cached Sharepoint folders from downloading into Outlook as well.

F. Press OK until all options are saved.

9. Stop Outlook 2007 storing RSS information from IE7

10. Run the Outlook 2007 Diagnostics check

11. Update your Rules and Alerts

12. Turn off your Anti-Virus email scans

*This step is only advised for people who more or less know what they’re doing on a computer.

13. Run the Outlook 2007 Diagnostics check

Outlook has its own self-repair mechanism. Click on Help and Office Diagnostics, and then let Outlook run its diagnostic tests, which can take 15 minutes or so.

14. Update your Rules and Alerts

Under Tools, Rules & Alerts, Options select Upgrade Rules (only if you don’t use these PST files with an older version of Outlook). This updates the rules to Outlook 2007.

15. Run Outlook 2007 in safe mode

Quit out of Outlook 2007 and locate each of these files in turn and rename as indicated.

A. extend.dat – you will find this file in the location :\Documents and Settings\user-directory\Local Settings\Application Data\Microsoft\Outlook\extend.dat

//change it to extend.old

B. views.dat – may not find it most of the time

C. frmcache.dat – :\Documents and Settings\user-directory\Local Settings\Application Data\Microsoft\FORMS\FRMCACHE.DAT

//change it to FRMCACHE.old

D. outcmd.dat – :\Documents and Settings\user-directory\Application Data\Microsoft\Outlook\outcmd.dat

//change it to OUTCMD.old
